Welcome to Planon

Congratulations everyone! Today’s go-live of Planon marks a significant milestone for the Facilities team and our UBC community. The efforts required — from our evaluation and selection of Planon, to undergoing design, configuration, testing and training, to go-live today — have been significant and the implementation of this system has not been a simple task.

Planon is live at UBC

Planon officially launches today. Teams in Building Operations, Energy & Water Services, Locksmiths and Chemistry Stores will use Planon on a daily basis, and technicians in the field will be using Planon mobile to complete work orders, request materials, rent tools and equipment and update building asset information to support UBC’s asset management program.

Teams from Environmental Protection, Emergency Management and Energy & Water Services collaborated to expand the back-up diesel supply at the Campus Energy Centre by replacing the existing 42,000 litre tank with two 100,000 litre tanks.

Energy & Water Services’ operators are currently responding to a water main break on the 300 mm 16th avenue water main on University Endowment Lands. The 300 mm water main is one of two water mains that provide water to the UBC campus.

Reminder: Freeze of non-urgent service requests from Oct 17-Nov 1

The November 2nd go-live date for Planon is fast approaching. As part of this transition and launch, we are asking all faculty/staff members to hold-off on entering non-urgent service requests into Peoplesoft after Friday, October 16th. Building Operations’ Service Centre will continue to process and respond to urgent requests.

Getting ready for Planon and Workday

We are now only one month away from the November 2 go-live date for Planon and Workday. The opportunities are exciting, as Planon will provide the Facilities team with significantly enhanced power to effectively manage and maintain the university’s physical assets, and Workday will provide us with better access to the financial and human resources information we need for our day-to-day work.

Adam Rosenthal promoted as the Head in Stores with Building Operations

Adam has been an acting Head on many occasions in Stores, and has demonstrated he has the qualities required to be successful in this new role. As a Sub-head, Adam has developed strong relationships, and provided leadership and technical oversight to the Stores team.

Caroline Macleod, Executive Secretary for Energy & Water Services

Caroline Macleod is the successful candidate for the recently posted permanent role, Executive Secretary for Energy & Water Services (EWS). Caroline brings a wealth of experience to this position, and has been instrumental in supporting the department in transitioning to the new Workday and Planon enterprise systems.

New Enterprise Maintenance Management System (EMMS) Sustainment Team

Workday and Planon implementations are critical for the University’s long-term operational effectiveness. As the Facilities team prepares to move forward for Planon go-live on November 2, 2020, we have been working on solutions for on-going system maintenance, support and improvements needs — also known as sustainment, to help contain costs while ensuring that the supports are in place for system users. The EMMS Sustainment team will ensure that Planon continues to meet the long-term business objectives and requirements of current and future system users.
