Planon is live at UBC

UBC’s new maintenance, inventory and assets management system Planon is live.

Planon officially launches today, on Monday, November 2, 2020. The new system replaces PeopleSoft for managing UBC’s maintenance activities, inventory and assets (building and grounds assets which require maintenance). The introduction of Planon is an exciting milestone at UBC following a 2-year journey including evaluation, selection, design, configuration, testing and implementation.

Starting today, staff in Building Operations, Energy & Water Services, Locksmiths and Chemistry Stores will use Planon on a daily basis. Technicians in the field will be using Planon mobile to complete work orders, request materials, rent tools and equipment and update building asset information to support UBC’s asset management program.

Planon is integrated with Workday and will send HR and Finance data between applications in real-time, or near real-time. This will eliminate the need for duplicate data entry. For example, staff will enter absence requests for approval in Workday and their availability will be shown in Planon for scheduling maintenance work and for completion of electronic timecards. Purchasing and billing information will also be integrated to streamline the purchase order processing and month-end billing.

UBC Faculty and staff who submit maintenance and customer-funded service requests will notice an immediate difference when logging into Planon for the first time. Planon’s modern interface and easily recognizable icons will simplify the submission of service requests such as too hot/too cold, elevator issues, pest control, and leaks, spills and plumbing. Service requestors will complete a brief questionnaire to assist maintenance teams in diagnosing and addressing their issue.

Planon Job Aids are available in Canvas Workplace Learning to support users to complete activities in Planon. For mobile technicians, a Buddy network has been created to answer just-in-time questions within your shop and at Buddy Central in the atrium of the University Services Building (USB).
